SUBJECT: Unsolicited Requests & Inquiries for Teaching Positions

 SCOPE:This policy applies to unsolicited requests and inquiries concerning teaching positions at USC Sumter. "Unsolicited requests and inquiries" are defined as those not related to an active search nor responding to any other advertisement for teaching faculty. This policy addresses only written inquiries. Oral inquiries may be handled "on the spot," or the person making the request may be asked to submit it formally in writing.

1. It is the responsibility of the Division Chairs to respond to unsolicited inquiries. All inquiries about teaching positions on this campus which do not relate to an ongoing search will be sent to the appropriate Division Chair. Those received at any other office will be forwarded to the appropriate Division Chair.

 

2. Division Chairs will respond in writing to unsolicited requests and inquiries. If the request/inquiry concerns a regular faculty position, the response will be made within thirty (30) calendar days of receipt of the request; if a special faculty position, within ten (10) working days; if both, within thirty (30) calendar days. The letter of response may be preceded or accompanied by other communications, such as a telephone call or electronic mail, if circumstances so indicate, but in all cases a written letter of response will be sent and a copy retained.

3. Division Chairs will keep all requests/inquiries and copies of letters of response on file for not less than three years from the date of receipt. If, in their respective judgements, an applicant is clearly unqualified to teach or inappropriate to the needs of USC Sumter, his or her file need not be retained; but in such cases, the letter of response will clearly state the disqualification and reasons for it, and the letter of response will be retained for not less than three years from the date of receipt. If and when appropriate vacancies occur, those whose files were retained will be notified.
